Eden Scott is assisting a client seeking a Senior Secretary to join their admin team based at our office in Westhill, Aberdeen on a full-time, staff basis.

The Senior Secretary will provide confidential personal assistant support to assigned members of the Regional Management team. This pivotal role requires a high level of integrity due to handling highly sensitive and confidential information regularly. The role demands a proactive approach to problem-solving and the ability to handle various responsibilities efficiently.

Key Responsibilities:

  • Diary Management: Maintain and organise extensive diaries, including scheduling internal and external meetings.

  • Travel Coordination: Arrange UK and global travel, transportation, and accommodation, managing visas and medical requirements as needed. Process expense claims for managers.

  • Document Preparation: Prepare confidential documentation, letters, presentations, and spreadsheets.

  • Event Organisation: Plan and coordinate in-house and offsite events from inception to execution, including logistics management.

  • Stakeholder Management: Build and maintain effective relationships with key stakeholders, internally and externally.

  • Administrative Support: Assist with invoice and purchase requisition approvals in SAP, complete timesheets, and update organisation charts.

  • Office Duties: Undertake general office duties in a dynamic project environment.

Desired Experience & Skills:

  • Previous experience in a similar role within an international organisation is advantageous.

  • Proficiency in Microsoft 365 applications (Outlook, Word, PowerPoint, Excel, Teams).

  • Strong interpersonal skills with the ability to communicate effectively and build networks across all levels.

  • Highly motivated and organised, with exceptional project management skills and the ability to prioritise in a fast-paced environment.

  • Attention to detail and the ability to focus on fine points.
