Role Summary
The Technical Clerk performs a key role in the control and coordination of all engineering technical queries, document reviews as well as managing Marine Warranty Surveyor (MWS) and Client & Certified Verification Authority (CVA) comment sheets that exist for the project scope of work. The Technical Clerk will work within a team to support the Senior Technical Clerk with the smooth running of tasks, reporting to the Engineering Manager and liaising with the Information management team whilst also taking direction from the Foundations Package Director. The Technical Clerk will also be responsible for carrying out general tasks such as logging queries, producing reports, producing and maintaining trackers, facilitating engineering meetings, liaising with contractors and will be required to perform document control tasks and provide technical help and support to the wider Engineering Team and across packages and contracts as and where required.
Main Responsibilities
- Track, file and record document reviews.
- Management of the project technical query / comment sheet registers
- Ensuring timely receipt and update of queries with associated responses (internal and external systems), chasing the team weekly or more regularly as required for responses.
- Generating workflow discussions using the DMS system and providing regular reports for documents and queries to the project team as required.
- Providing support to produce engineering reports.
- Ensuring queries and comment sheets are closed out in a timely manner and any potential issues highlighted to the Senior Technical Clerk, Engineering Manager and Foundations Package Director immediately.
- Establishing, in conjunction with the Engineering Manager, all relevant internal and external interface partners
- Establishing a single point of contact for Contractors
- Facilitating Engineering Meetings and produce Minutes of Meeting for distribution internally and to Contractors.
- Perform Document Control tasks
- Assisting with any other duties that may be required for successful project delivery
- Contribute to creating a positive HSEQ culture
Skills
- Excellent written and oral communication skills and fluency in English
- High degree of computer literacy (Excel, Word, PowerPoint etc.)
- Ability to communicate positively at all levels, pro-active and open in communication with all interfacing parties both internally and externally
- Ability to identify and manage issues that could affect the engineering project programme
- Ability to multitask, flexible in approach and possess the ability to change priorities as and when project needs dictate
- Ability to prioritise workload and manage time
- Self-motivated
- Pro-active and positive to changes and challenges typical of OWF project

Experience/Knowledge
- Experience in using electronic Document Management Systems
- Familiarity with SharePoint desirable
- Previous experience of coordinating and interfacing within engineering project teams and third parties.
- Advanced user of Microsoft Office applications and Microsoft Teams
- Experience of managing interfaces within a project structure, including other disciplines such as project management, contractors and suppliers is desirable
- Document Control experience would be essential
- The project language is English, and it is expected that the job holder can write emails, holding discussions and reading technical documentation to a fluent level
- Previous experience in generating weekly reports.
