Eden Scott is delighted to be working with a highly respected and growing Financial Planning and Wealth Management firm in Edinburgh to recruit an experienced IFA Administrator.

This is an excellent opportunity for a motivated and detail-oriented financial services professional to join a supportive and professional team, providing vital administrative support to Financial Advisers and Paraplanners while helping deliver an exceptional client experience.

As an IFA Administrator, you will play a key role in supporting the end-to-end client journey, ensuring all administrative processes are completed efficiently, accurately, and in line with regulatory requirements.

Key responsibilities will include:

  • Providing comprehensive administrative support to Financial Advisers and Paraplanners.
  • Preparing and processing new business applications across pensions, investments, ISAs, bonds, and protection products.
  • Maintaining accurate client records and updating internal systems and databases.
  • Preparing client review packs, valuations, illustrations, and supporting documentation for adviser meetings.
  • Liaising with providers, platforms, clients, and third parties to obtain information and progress cases.
  • Managing fund switches, withdrawals, transfers, and contribution requests.
  • Monitoring and tracking business submissions through to completion.
  • Handling client and adviser queries via telephone and email in a professional and timely manner.
  • Supporting ongoing client servicing requirements, including annual reviews and policy administration.
  • Ensuring all documentation meets FCA and company compliance standards.
  • Assisting with ad-hoc projects and process improvement initiatives.

To be successful in this role, you will ideally have:

  • Previous experience working within an IFA, Financial Planning, Wealth Management, or Financial Services environment.
  • Strong administration and organisational skills.
  • Excellent attention to detail and accuracy.
  • Experience dealing with pensions, investments, protection products, or platform providers.
  • Strong communication skills and the ability to build positive relationships with clients and stakeholders.
  • The ability to prioritise workloads and manage multiple tasks effectively.
  • Proficiency in Microsoft Office applications.
  • Experience using Intelligent Office, Xplan, Plannr, Adviser Office, or similar back-office systems would be advantageous.
  • A client-focused and professional approach with a strong commitment to service excellence.
