Eden Scott is delighted to be working with a highly respected and growing Financial Planning and Wealth Management firm in Edinburgh to recruit an experienced IFA Administrator.
This is an excellent opportunity for a motivated and detail-oriented financial services professional to join a supportive and professional team, providing vital administrative support to Financial Advisers and Paraplanners while helping deliver an exceptional client experience.
As an IFA Administrator, you will play a key role in supporting the end-to-end client journey, ensuring all administrative processes are completed efficiently, accurately, and in line with regulatory requirements.
Key responsibilities will include:
- Providing comprehensive administrative support to Financial Advisers and Paraplanners.
- Preparing and processing new business applications across pensions, investments, ISAs, bonds, and protection products.
- Maintaining accurate client records and updating internal systems and databases.
- Preparing client review packs, valuations, illustrations, and supporting documentation for adviser meetings.
- Liaising with providers, platforms, clients, and third parties to obtain information and progress cases.
- Managing fund switches, withdrawals, transfers, and contribution requests.
- Monitoring and tracking business submissions through to completion.
- Handling client and adviser queries via telephone and email in a professional and timely manner.
- Supporting ongoing client servicing requirements, including annual reviews and policy administration.
- Ensuring all documentation meets FCA and company compliance standards.
- Assisting with ad-hoc projects and process improvement initiatives.
To be successful in this role, you will ideally have:
- Previous experience working within an IFA, Financial Planning, Wealth Management, or Financial Services environment.
- Strong administration and organisational skills.
- Excellent attention to detail and accuracy.
- Experience dealing with pensions, investments, protection products, or platform providers.
- Strong communication skills and the ability to build positive relationships with clients and stakeholders.
- The ability to prioritise workloads and manage multiple tasks effectively.
- Proficiency in Microsoft Office applications.
- Experience using Intelligent Office, Xplan, Plannr, Adviser Office, or similar back-office systems would be advantageous.
- A client-focused and professional approach with a strong commitment to service excellence.
